The Front Desk Customer Service Representative Dispatcher is a central part of the daily operation at American Flight Schools. You’ll support students, members, and instructors by coordinating schedules, answering training and membership questions, assisting with accounts and billing, managing reservation changes, and dispatching aircraft. You’ll also coordinate with maintenance and management to keep operations running smoothly. This role is a great fit if you enjoy helping people, can manage several priorities at once, and take pride in keeping a busy aviation environment organized and responsive.
Core Responsibilities
- Deliver a professional, welcoming experience for students, members, aircraft owners, and guests.
- Respond promptly to calls, emails, and in-person inquiries; provide clear updates and follow through on open needs.
- Maintain accurate student, member, pilot, and instructor information in company scheduling and recordkeeping systems.
- Coordinate aircraft and instructor schedules, assist with reservations and changes, and dispatch aircraft in a timely manner.
- Support new-member and new-student onboarding, including required paperwork, account setup, and file updates.
- Work closely with instructors, maintenance, and management to communicate aircraft status, operational changes, and customer needs.
- Help customers with account questions, billing support, payments, and scheduling-related concerns.
- Complete daily, weekly, and monthly operational checklists to keep front-desk processes organized and consistent.
- Maintain office, pilot-supply, and front-desk inventory; coordinate receiving and distribution as needed.
- Participate in team meetings, training, shift handoffs, and cross-functional projects.

- Training is provided for company-specific systems and procedures, and successful candidates should be comfortable learning new tools quickly and applying them accurately.
- Customer Service: Provide helpful, professional support to students, members, aircraft owners, and prospective customers.
- Flight Scheduling and Dispatch: Learn and use the company’s scheduling and aircraft-dispatch systems accurately.
- Customer Accounts and Billing: Learn and use company billing, payment-processing, and customer-account systems.
- Communication: Respond clearly and professionally to customers in person, by phone, and by email.
- Organization and Prioritization: Manage multiple immediate needs while maintaining accuracy, follow-through, and a positive customer experience.
- Recordkeeping: Maintain clear, accurate customer, pilot, and scheduling records.
- Administrative Support: Complete checklists, routine office responsibilities, and other duties assigned by management.
Candidates must possess
- Customer service, front-desk, hospitality, sales, or other client-facing experience
- Strong verbal and written communication skills
- Comfort using email, calendars, online scheduling, data-entry tools, and basic word-processing or spreadsheet applications
- The ability to learn new software systems and follow established procedures accurately
- Strong organization, attention to detail, and the ability to manage changing priorities
- A professional and dependable approach to working with customers and teammates
- Basic aviation knowledge or a genuine interest in learning about aviation; previous aviation experience is a plus
- The ability to work weekends and other scheduled shifts as needed
